Adding a Non-Owned Release
1. At the Customer field, enter the six character customer ID code.

2. A Select A Location window will appear and display the following choices: EXIT, and a listing of all locations. Highlight the appropriate location and press Enter to confirm your selection or select Exit to return to customer field.
Note: If there is only one location in the Location table, that location will be defaulted and the selection window is bypassed.
3. A Select An Option window appears and displays the following choices:
- NEW RELEASE – Select NEW RELEASE to add/create a new non-owned release. A list of all open non-owned releases will appear for the customer specified. Scroll to select a release and press Enter. See Changing Non-Owned Releases.
- PICK RELEASE – Select PICK RELEASE to pick from a list of completed releases.
- EXIT – Select EXIT to exit the release option and select a different customer or leave blank and exit.
Select NEW RELEASE to enter a new release for the specified customer.
4. After selecting the NEW RELEASE option, enter the customer supplied release number, if applicable.
5. A Select a Carrier window appears and displays the following choices: EXIT NO CHANGE, and a listing of all carriers defined in the system. Use the arrow keys to highlight the appropriate carrier and press Enter to confirm your selection, or select EXIT NO CHANGE to leave the carrier field blank.
6. At the By Whom field, enter in the name of the person that requested the release.
7. At the Date Ordered field, enter in the release ordered date, or press Enter to accept the system default date.
8. At the Date Released field, enter in the date the product is to be released/shipped, or press Enter to accept the system default date.
9. At the Desc field, enter in an additional description to be associated with this release, if applicable.
Important: Any given lot may only appear once a release. If an attempt is made to enter it a second time, the message line displays " lot already used on this release!!!."
10. At the first item line field, enter in the item mask of the item to be released or press F3 to search. A Select An Item window appears and displays all items that are associated with your entry and have been designated Lotted =Y in the Item Maintenance table, if any are available. If no items appear, this indicates that there are no lotted items in the item group.
If you did not make an entry to the Item field and press Enter, command options will appear:
- If you select Continue, the system will allow you to continue processing this release.
- If you select Exit, the system will exit out of this release and return to the Select An Option window.
11. After selecting an item to release, a window appears and displays a listing of all of the non-owner lots of the selected item for the selected customer.
The following fields will display:
- Loc – The location that the non-owner item is being released from
- Lot – The lot number for the non-owned lot
- Slot – If the location is slotted, the slot number in which the lot is stored
- Date – The date the lot was inducted
- Status – The status of the lot:
- O – Open
- P – Pending
- C – Closed
- Available – The amount of the non-owned item that is available for release
- Unit – The stocking unit of measure
- C – See F9 Committed Inventory for an explanation of this field
- Release – The amount of the non-owned item to be released.
Use the arrow keys to highlight the appropriate lot and/or slot and enter the quantity to be released based on the stocking unit for the item. After making your entry, the Available field will adjust itself to reflect the release and displays the remaining non-owner lot quantity. Press F10 to continue
12. When a line entry has been completed, the cursor automatically moves to add the next item. Add another item to be released or press Enter on a blank item code to finish entering line items.
13. Enter "///" in the item field to enter a message for the release.
14. Once you have completed your line entries, command options will appear:
- If you select Add, the system will allow the user to add additional line items to this release.
- If you select Change, the system will allow you to make changes to the lots selected and release amount field in a particular line item already entered on this release. Highlight the line to be edited and press Enter. Enter in the appropriate changes, or press Enter to accept the existing entries.
- If you select Delete, the system will allow you to delete a line item already entered on this release. Highlight the line to be deleted and press Enter to confirm your selection.
- If you select Text, the system will allow you to add a text message to a particular release line item.
- If you select BOL, the system will allow you to add an alternate ship-to/bill-to address
to print on the bill of lading. This will override the customer ship to address.
- Select Change.
- Select Modify.
- Enter the alternate ship-to/bill-to address for the release.
- Select Exit to save.
- If you select Release, the system will allow you to make changes to the release header fields.
- If you select Update, the system will update and save this release. Proceed to the next step.
- If you select Void, the system will void this release.
- If you select Exit, the system will exit this option. The message line displays "Release was Changed !! Exit Anyway? No/Yes."
- If you select no, the system will abort exiting this release.
- If you select yes, the system will exit without saving this release.
15. Select Update to save the non-owned release.
16. Once you select Update to save the release, the system will verify that all non-owner lots used on the release have sufficient balances to accommodate the release. Non-owner lots cannot have a negative amount. If a problem is discovered, the following message will appear: "Non-Owner lot balance deficiency. Update ABORTED!!." Otherwise, a different message will display: "Updating files, please wait..." while the release is written to the system. The release number is assigned at this time and displays in the upper right hand corner of the screen.
17. Command options will appear:
- If you select DON'T PRINT RELEASE, the system will continue without printing the release at this time.
- If you select PRINT RELEASE, the system will print the release. Command options will appear allowing you to print or choose from a set of other print options.
- If you select EXIT, the system will return you to the message options where you can then select any of the options described above.
18. The message line displays the following options:
- If you select DON'T Complete Release, the release will not be completed and will appear on the PICK RELEASE option that appeared in the Select An Option window which displayed when you chose to start the release process. The release can be changed and completed at a later time.
- If you select Complete Release, the release will be completed and will not appear on the PICK RELEASE option that appeared in the Select An Option window when you chose to start the release process. The on-hand balance will be reduced by the release and the release can no longer be changed.
- If you select Exit, the system will return you to the message line options where you can then select any of the options described above. If the carrier assigned to the release requires a bill of lading a Select An Option window will appear with the following options:
- Don't print BOL – Select Don't print BOL to update the release without printing the bill of lading.
- Print BOL – Select to print a bill of lading and update the release. Command options will appear allowing you to print or choose from a set of other print options.
Important: Your changes will not be saved unless you select Update.
